The role:

Executive Assistant

To provide, efficient and effective executive office management support to the Leadership Team at British Airways Maintenance Glasgow.

What you’ll do:

Deliverables

  • Management of specific business issues at the direction of Head of Operations and/or LT
  • Working with Internal Communications BP to ensure we have a regular programme of directorate level communications, aligned with Corporate messaging (e.g. around times of results, significant changes / announcements etc.)

Reporting

  • Proactive tracking/management of cross-directorate compliance and/or milestones (e.g. mandatory learning/absence)
  • Collates and submits reports when required
  • Provides effective, proactive communication of all area activities/initiative as required

Co-ordination

  • Organise and manage day to day and longer-term planning schedule of meetings and events for the LT.
  • Leads and supports specific projects, as required eg recruitment and onboarding.
  • Management of relationships with external contacts, efficient responses and follow through
  • To help LT join the dots across the directorate through effective collaboration
  • Coordination and arrangement of virtual events (through technology such as Microsoft Teams) or physical events (e.g. floorplates or forums)
  • Minute and/or note-taking as required
  • Management of key administrative & HR processes, Health surveillance, sickness absence, security,
  • Looking for all opportunities to automate processes
  • Aligning team activities with key business partners to ensure coordinated outputs and deliverables for LT

What you’ll bring to British Airways:

  • Strong project/change management skills
  • Proven ability to build relationships and manage stakeholders
  • Strong planning skills and ability to implement plans once agreed.
  • Ability to work under pressure and deal with complex situations in a structured manner
  • Proven ability to work with minimal supervision and make decisions based on available data and own initiative.
  • Analysis and interpretation of data
  • Understanding of Lean and Continuous Improvement techniques desirable

Your experience:

  • Education to Level 4 (e.g. HNC, HND, FD) or educational equivalent
  • Strong PC skills including usage and analysis of spreadsheets and use of Word, Notes, Excel, O365, PowerPoint and databases
  • Experience of delivering engagement led change in an operational environment and with remote teams.
  • Working to deadlines and standards
  • Delivering to customer and business requirements
  • Ability to follow process and procedures
